Purpose of Processing
Personal data are processed for the following purposes:

Management of the digital check-in process: collection and verification of guest identification data (name, surname, ID document, photo, etc.) necessary to complete the registration procedure and automatically send the information to the accommodation facility.

Identity verification (ID Proofing and KYC): using certified NFC reading technologies for electronic documents and biometric recognition with liveness detection, to ensure compliance with security and anti-terrorism regulations.

Compliance with legal obligations: including those provided by the Consolidated Law on Public Security (TULPS) and Regulation (EU) 2016/679 (GDPR).

Support and assistance: management of support requests sent via contact form or email.

Service improvement: anonymous statistical analyses and feedback collection to improve user experience and platform functionality.
Types of Data Processed
Depending on the interaction with the platform, we may collect:

Personal identification data: name, surname, date and place of birth, tax code.

Contact data: email, phone number.

ID document data: document number, issue and expiry date, image, and electronic chip.

Biometric data: facial images used exclusively for biometric verification and not stored after validation.

Technical navigation data: IP address, system logs, and device information collected automatically to ensure service security.
Processing Methods
Data are processed in full compliance with the principles of lawfulness, fairness, and transparency, using automated systems and advanced security measures to prevent unauthorized access, loss, or destruction.
Biometric data are used only for instant identity verification and are never permanently stored on youCheckin servers.
Legal Basis
Data processing is based on:

the performance of a contract or pre-contractual measures requested by the data subject (Art. 6, para. 1, lett. b GDPR);

compliance with legal obligations (Art. 6, para. 1, lett. c GDPR);

the legitimate interest of the controller to ensure the security and regularity of operations (Art. 6, para. 1, lett. f GDPR).
Data Retention
Personal data are retained only for as long as strictly necessary for the purposes for which they were collected and, in any case, not beyond the limits established by applicable law.
Biometric data, such as facial images, are deleted immediately after identity verification.
Data Communication and Transfer
Data may be shared with:

accommodation facilities (hotels, B&Bs, vacation homes) that use the youCheckin platform for check-in management;

technology and infrastructure service providers acting as data processors;
-
public authorities, when required by law or judicial orders.
Data are not transferred outside the European Economic Area. Should this be necessary, the transfer will only take place to countries ensuring an adequate level of protection under the GDPR.
Data Security
youCheckin uses internationally certified security technologies, including end-to-end encryption, secure authentication, and cloud infrastructures compliant with ISO/IEC 27001 standards.
Each identity verification is performed automatically, authenticated, and compliant with European eIDAS standards.
